Data deletion instructions

1. Who this applies to

These instructions explain how to request deletion of personal information held by Tensor Foundry & Labs (“Hospital Hunter”, “we”, “us”) when you use https://www.hospitalhunter.com.

This page is provided to meet Meta Platform requirements and to help patients, account holders, and other users exercise their privacy rights.

2. How to request deletion

Email us at privacy@hospitalhunter.com from the email address linked to your Hospital Hunter account (or include the mobile number used on your patient profile if you do not have email login).

Include the following in your message:

  • Subject line: Data deletion request
  • Your full name
  • Account identifier: registered email and/or mobile number
  • What you want deleted: your Hospital Hunter account, patient profile, uploaded files, and/or Meta Platform Data (see section 4)
  • Optional: hospital name if your request relates to an appointment or visit at a specific clinic

We may ask for additional information to verify your identity before processing the request.

3. What we delete

Depending on your account type and request, we can delete or anonymize:

  • Patient accounts: login credentials, profile fields (mobile, pincode, blood group, insurer), session data, and uploaded medical wallet files where applicable
  • Appointment requests: online booking details you submitted through the public site, where we are permitted to remove them
  • Meta Platform Data: WhatsApp message delivery records and related operational logs in our systems that identify you, as described in section 4

4. Meta Platform Data and WhatsApp

Hospital Hunter uses the Meta WhatsApp Business Platform to send transactional utility messages (for example appointment confirmations, cancellations, reminders, and payment receipts) to patients who have an existing care relationship with a hospital using our platform.

Platform Data we receive from Meta may include your WhatsApp phone number, message identifiers, template names, and delivery or read status updates received through our webhook.

When you request deletion of Meta Platform Data, we will:

  • Delete or anonymize WhatsApp send-ledger rows and related logs in our systems that identify you, unless retention is required by law
  • Stop sending new WhatsApp messages to your number from Hospital Hunter for hospitals where you are no longer an active patient, where we can honor that request
  • Not use your number for marketing or bulk outreach through the platform

We do not control message history stored on your WhatsApp app or on Meta’s servers. To manage messages in the WhatsApp client, use WhatsApp’s own settings. To manage how Meta processes your WhatsApp account data, see WhatsApp Privacy Policy.

5. Data we may retain

We may be unable to delete certain information immediately because:

  • Hospital clinical records: If a hospital used Hospital Hunter ERP to record your visit, appointment, billing, prescriptions, or lab reports, that data may be retained by the hospital as part of its medical and legal obligations. Contact the hospital directly for clinical-record requests; we will assist the hospital where required.
  • Legal or security needs: We may retain minimal records needed to comply with law, resolve disputes, enforce our terms, or protect security (for example audit logs with pseudonymous identifiers).
  • Backups: Deleted data may persist in encrypted backups for a limited period before being overwritten.

If we refuse or limit deletion, we will explain why in writing where applicable law requires it.

6. How long it takes

We aim to acknowledge requests within 7 business days and complete verified deletion within 30 days, unless a longer period is required by law or the request is unusually complex. We will tell you if we need more time.

7. Account deletion without email

If you cannot access the email on your account, email privacy@hospitalhunter.com from another address and include your registered mobile number, approximate registration date, and any appointment or hospital name you used on the platform so we can verify ownership.
